Use only company-approved tools for project data, give clear context in your prompts, and build the habit one task at a time. New to the topic? Start with our overview: AI in project management 2026.
7 project tasks to hand to AI first
Start where AI saves the most time with the least risk: drafting and summarising.

Replace the parts in [brackets]. Better context gives better output.
CharterDraft a project charter“Act as a senior project manager. Using this business case [paste], draft a one-page project charter with objectives, in/out of scope, key milestones, risks and success measures.”
PlanningBuild a WBS“Create a work breakdown structure to level 3 for [project] with deliverables [list]. Show it as an indented list and flag any gaps.”
RiskFind risks“List the top 10 risks for a [type] project in [industry] with [constraints]. For each: cause, impact, probability (H/M/L) and a response.”
ReportingWeekly status report“Summarise these updates [paste] into a status report for a CFO: overall RAG, 3 highlights, 3 risks, decisions needed. Under 150 words.”
StakeholdersDifficult message“Draft a calm, factual email telling the client the release moves from [date] to [date] because [reason], with our recovery plan and next steps.”
AgileUser stories“Turn this requirement [paste] into user stories with acceptance criteria in Given/When/Then format, sized for one sprint each.”
Never paste confidential client data, personal information or contract terms into a public AI tool. Use your company-approved assistant, or anonymise first.

Set up your AI toolkit
Most PMs need just three layers. Check what your company already licenses before buying anything.
Layer 1AI inside your PM toolAtlassian AI in Jira, Copilot in Microsoft Planner, Asana AI or monday.com AI for tasks, summaries and reports.
Layer 2AI in meetings & chatTranscripts and summaries in Teams, Zoom or Google Meet, plus AI recaps of long Slack or Teams threads.
Layer 3General AI assistantAn enterprise version of ChatGPT, Claude, Gemini or Microsoft Copilot for drafting, analysis and brainstorming.

Using AI for project risk management
AI is good at spotting patterns early. A simple routine:
Ask AI to brainstorm risks for your project type before the team workshopFeed weekly status data and ask what trends suggest a slipHave AI check the risk register for missing owners or stale responsesUse your PM tool's forecasts to spot overloaded people and late tasksDecide responses with the team and sponsor, never by AI alone
AI flags a pattern your team missed
In a data-migration project, an AI summary of three weeks of stand-up notes shows the same vendor dependency mentioned as “waiting” eight times.
PM action: log it as a risk with an owner, escalate to the vendor manager with dates, and add a contingency plan. AI surfaced it; you managed it.

Safety guardrails for using AI on projects
AI mistakes become your mistakes once you send them. Follow these rules:
Use only company-approved AI tools for project dataAnonymise names, figures and client details when unsureCheck every fact, number and date before sharingTell stakeholders when content is AI-assisted if your policy asksKeep humans accountable for every decision
Never…Paste contracts, salaries, personal data or passwords into public chatbots, or let AI make people decisions such as performance ratings on its own.
Responsible AI use now appears in PMP exam scenarios from July 2026, mainly in the Business Environment domain.

AI tools for project managers: FAQs
What is the best way for a project manager to start using AI?
Start with meeting summaries and status reports in your company-approved tools. They save time quickly and are easy to check.
Which AI tools do project managers use most?
AI built into PM tools (Jira, Microsoft Planner, Asana, monday.com), meeting tools (Teams, Zoom, Meet) and enterprise assistants like ChatGPT, Claude, Gemini or Copilot.
Is it safe to put project data into AI tools?
Only in tools your organisation has approved. Never paste confidential or personal data into public AI chatbots.
How do I write better prompts?
Give a role, the context, the exact output format and a length limit, for example: “Act as a PM. Summarise these updates for a CFO in 150 words with RAG status.”
Can AI manage project risks on its own?
No. AI can spot patterns and suggest risks, but the project manager and team decide which matter and how to respond.
Do I need coding skills to use AI as a PM?
No. Clear writing and good project knowledge matter far more than coding for everyday AI use.
